Why Clean HubSpot Reporting Starts with Your Properties
When a team says "we can't trust our HubSpot reporting," the root cause is almost never the dashboard itself. It sits one level deeper — in the properties and lifecycle stages the reports are built on.
The Real Problem
Over time, nearly every HubSpot account accumulates dozens of overlapping properties: three fields capturing the same information, free-text inputs where there should be dropdowns, lifecycle stages set manually and never updated again. Each individual decision made sense at the time — but taken together they produce a data model the numbers can no longer follow.
Where I Start
Before I touch a single dashboard, I work through three things:
- Property audit: Which fields are actually used, which ones duplicate each other, which can be retired?
- Lifecycle logic: Is the stage set automatically by clear, consistent criteria — or does it depend on manual discipline?
- Single source of truth: For every metric, exactly one field that defines it.
Only once that foundation is in place does reporting become reliable again — and teams start trusting it.
